Distance Education Examinations

  1. Meeting with an Access Service specialist

    If you are a student with a disability who wishes to write your distance education examination at the Access Service, you must communicate with an Access Service specialist. This meeting can occur via phone, email or other forms of communication. No accommodation can be provided without an assessment and verification of the student’s needs. All students are required to review and sign the Access Service’s Guidelines for Exam Accommodations.

  2. PLEASE NOTE : The Host Institution in these guidelines refers to the University offering the distance education course, and not the University of Ottawa.


  3. Documentation

    You are required to arrange that the necessary documentation about your disability be sent to the Access Service from your Host Institution, including any medical certificates or accommodation plans.

    PLEASE NOTE : The Access Service cannot accommodate students who have not disclosed their disability and who have not received an assessment from their host institution.


  4. Exam Accommodation Form

    Once you have met with your Access Service specialist and signed the Guidelines for Exam Accommodations, you must complete the print copy Exam Accommodation Form available in-person at the Access Service (Room 339 University Centre) as instructed below:

    • Clearly indicate that it is an EXTERNAL EXAM WITH THE UNIVERSITY OF; (fill in institution name)
    • Replace the "Professor Information" Section by the "Contact Person’s Information" from your institution.
  5. Make Arrangements with the Host Institution

    You are required to make all of the necessary arrangements with your host institution to provide the exam to the University of Ottawa Access Service. Please include contact information for the Host Institution, and inform them that all materials for the exam should be sent via registered courier to:

    PLEASE NOTE : You are responsible to provide the Exam Coordinator’s contact information to your host university’s Distance Education personnel. The exam coordinator will expect to be contacted by the Host Institution.


  6. Confirmation of Exam

    Once the Access Service exam coordinator has received confirmation by the Host Institution, the feasibility of requested accommodations will be confirmed by email to both you and your Host Institution. You are responsible to verify that all information in the Confirmation of Accommodations Email is accurate. The Access Service reserves the right to schedule deferred exams based on availability and volume, and therefore the date you request may be subject to change.



  7. Fees for Exam Services

    The exam coordinator will also review the related exam fees with the student or Host Institution. If the student is responsible, you are required to bring a cheque the day of the exam (made payable to the University of Ottawa); otherwise, the Host Institution will be billed for the services provided. Arrangements for payment must be made BEFORE the exam. Failure to make arrangements will result in the cancellation of the examination.
